2. Scope

This Privacy Policy explains how we collect, use, disclose, and protect personal information in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA), the Saskatchewan Privacy Act, and other applicable Canadian privacy legislation.

3. Personal Information We Collect

• Account information: name, email address, phone number, company/organization name, user role.
• Training content: documents, voice recordings, text you upload or enter to generate training materials.
• Employee data: names and emails of employees you invite to the platform.
• Payment information: billing details processed via Stripe (we do not store full card numbers).
• Usage data: pages visited, features used, IP address, browser/device type, and timestamps.
• Communications: support requests and messages you send us.

4. Why We Collect This Information

• To provide, operate, and improve the platform.
• To process payments and manage subscriptions.
• To send transactional emails (account confirmation, password reset, training completion).
• To send service notifications you have opted in to.
• To comply with legal and regulatory obligations.
• To detect and prevent fraud and security threats.

5. Third-Party Service Providers

We share personal information with the following sub-processors, solely as required to deliver our service:

6. Data Retention

• Account data: retained while your account is active and for 2 years after closure.
• Payment records: retained for 7 years as required by tax law.
• Training content & generated materials: retained while your account is active; deleted within 90 days of account closure on request.
• Audit logs: retained for 2 years.

7. Your Rights Under PIPEDA

You have the right to:

• Know what personal information we hold about you.
• Request corrections to inaccurate information.
• Withdraw consent (where consent is the basis for processing).
• Request deletion of your personal data (subject to legal retention requirements).
• Receive a copy of your data in a portable format.

8. Complaints

If you believe your privacy rights have been violated, you may file a complaint with the Office of the Privacy Commissioner of Canada at www.priv.gc.ca or 1-800-282-1376.

We use industry-standard safeguards including HTTPS/TLS encryption in transit, hashed passwords (bcrypt), and access controls. No system is 100% secure; if you discover a vulnerability, please contact us immediately.

10. Changes to This Policy

We may update this policy. We will notify registered users by email at least 30 days before material changes take effect. Continued use after that date constitutes acceptance.
